FAQ
PRODUCTS & QUALITY
1. What does "refurbished" mean for your printers and scanners? At The Printer Pros, "refurbished" means far more than a quick clean and a fresh coat of paint. While some competitors simply wipe off the dust and call the unit "Refurbished," we put every unit through a meticulous 21-point refurbishment process performed by our authorized technicians. Here's what that includes:
- Full disassembly and inspection — every component is examined for wear, damage, or failure
- Genuine OEM parts only — we replace worn parts using authentic manufacturer-approved components, never cheap aftermarket substitutes
- Rollers and sensors — always replaced as standard practice on every unit
- Gears and mechanical components — inspected and replaced as needed
- Complete cleaning and cosmetic restoration — every unit is thoroughly cleaned inside and out. Where cosmetic restoration is possible, we repaint the entire unit or professionally refinish worn surfaces for a clean, consistent appearance. Damaged plastic panels are replaced where needed. Newer models often arrive looking virtually new, while some older units may show minor surface wear that is only visible upon close inspection — this is normal for older equipment and has no effect on performance.
- Final testing — every printer is test-run before it ships to ensure it meets our quality standards
The result? A printer that performs like new, backed by our warranty — at a fraction of the cost of buying new.

20. How do I know which printer is right for my business? Great question — here are the key factors to consider:
Print Volume: Whether your office prints a few hundred pages a month or tens of thousands, a laser printer is your best bet — faster, more economical per page, and built for high-volume use. Laser printers are also generally more rugged and reliable, making them the preferred choice for business environments of all sizes. For very low-volume or occasional use, a smaller desktop laser model will still outperform and outlast most alternatives — including inkjet printers and yes, even the trusty old dot matrix! 😄
Color vs. Black & White: Color laser printers cost more upfront but are worth it if you regularly print presentations, marketing materials, or color documents. For mostly text and forms, a monochrome laser printer will save you significantly on toner costs.
Multifunction vs. Single Function: If your office needs occasional scanning, copying, or faxing, a multifunction printer (MFP) is a convenient all-in-one solution — most popular MFP models are rated for around 5,000-6,000 scans per month and scan at roughly 25-35 pages per minute. However, if scanning is a significant part of your workflow, you may get far better results pairing a dedicated high-performance laser printer with a rugged standalone scanner. Dedicated scanners are built for speed, durability, and scan quality that MFPs simply can't match — many of our professional Canon and Fujitsu scanner models handle 50,000 to 75,000+ scans per month at speeds of 100-130 pages per minute. That's the difference between waiting on your scanner and your scanner waiting on you!
💡 Popular Printer + Scanner Pairing:

Together you get a powerhouse print-and-scan setup for under $1,800 — a fraction of what you'd pay buying new.
📋 Note: This combination does not include copy functionality. If your office also needs copying, check out our MFP options below — or contact us and we'll help you find the right fit!
💡 Popular Multifunction Printer (MFP) Examples: Need printing, scanning, copying, and faxing all in one? Here are two of our most popular MFP options:

- HP Color LaserJet Enterprise M775f MFP — $1,999 with Free Shipping (originally $6,319 new — you save over $4,300!) — an exceptionally durable, high-volume workhorse built for demanding office environments that need serious monthly output
Network Connectivity: Most office printers today connect via wired ethernet or built-in Wi-Fi. Make sure the model you choose matches your office setup. (See FAQ #16 for more details on connectivity options!)

21. What's the difference between an MFP scanner and a dedicated document scanner? Great question — and the differences are bigger than most people realize!
Input Tray Capacity: A typical MFP like the HP M479 series holds only 50 sheets in the ADF tray. A dedicated high-end scanner like the Canon DR-G2110 holds 500 sheets — that's 10x more paper loaded and ready to scan without stopping to reload.
Scan Speed: Most MFPs scan at 25-35 pages per minute. Professional dedicated scanners run at 100-130 pages per minute.
Monthly Volume: MFPs are typically rated for 5,000-6,000 scans/month. High-end dedicated scanners handle 50,000-75,000+ scans/month.
If scanning is a core part of your business operation, a dedicated scanner paired with a laser printer will dramatically outperform any MFP — and save you time every single day!
